Kubrik GmbH (herein after referred to as “KUBRIK“) takes data protection and protection of personal-related data very seriously. Therefore, we treat/process your data exclusively on the basis of the legal requirements (GDPR, TKG 2021). Below, we describe how we process your personal data, as a responsible data protection officer.
1. Definitions
- The "Controller" is the natural or legal person, public authority, agency or other body which alone or
jointly with others determines the purposes and means of the processing of personal data. The
responsible party for data processing on the Website is its operator, Kubrik GmbH, FN 577648 h,
Mollardgasse 70C / Top 8, 1060 Wien (referred to as "Operator" for short).
- "Personal data" means any information relating to an identified or identifiable natural person
(referred to as "data subject" for short).
- "Processing" means any handling of personal data, including collecting, recording, organizing,
arranging, storing, adapting, deleting, evaluating, etc.
- "Processor" means a natural or legal person, public authority, agency or other body that processes
personal data on behalf of the Controller.
2. Categories of data subjects
Data subjects are the visitors to the website applicants or contractual partners (hereinafter collectively
referred to as "the visitors").
3. Purpose of processing
Depending on whether you visit our website, are a interested party, our supplier or (future) business partner, or
you apply for a job at KUBRIK, we process your data in different ways:
3.1. Data processing of visitors to our website and interested parties
The following categories of data of the visitors and interested parties are processed:
- Contact data: e.g. name, address, company object, e-mail address, telephone number
- Usage data: e.g. websites visited, interest in content, retrieval times
- Meta/communication data: e.g. device information, IP addresses
We process your personal data either
- to protect our legitimate interests (Art 6 (1) lit f GDPR), namely to ensure the operation, security and optimization of our website, or
- to process your inquiries that you send to us by e-mail or by telephone (Art 6 (1) lit a GDPR)
- to fulfill our legal obligations in connection with the prevention of money laundering and terrorist financing (Art 6 (1) lit c GDPR).
3.2. Data processing of suppliers and contractual partners
The following categories of data of the visitors and interested parties are processed:
- Contact data: e.g. name, address, company name, e-mail address, telephone number and other data
We process your personal data either
- to conduct pre-contractual measures or to fulfill our contractual obligations (Art. 6 (1) lit b GDPR);
- to fulfill our legal obligations (Art. 6 (1) lit c GDPR).
The processing of your data serves primarily the initiation, maintenance and execution of our contracts for goods and services.
3.3. Data processing of applicants:
For applying online, we collect the following data:
- - first and last name, e-mail, telephone number, address, nationality, CV and if willingly provided references, Cover Letter and pictures.
We process your personal data either
- - to conduct pre-contractual measures (conclusion of a service contract (Art 6 (1) lit b GDPR),
- - based on your express consent (Art 6 (1) lit a GDPR), if we wish to keep you on record as an applicant,
- - to fulfill our legal obligations (registration as an employee with social security, Art 6 (1) (c) GDPR).
The processing of your data serves the purpose of handling the application procedure and registration with the social insurance if we hire you. If you do not provide us with your data, we will not be able to process your application.
The consent can be revoked at any time without affecting the lawfulness of the processing carried out on the basis of the consent until the revocation. The revocation can be made by e-mail to

We will retain your data for seven months from the date of completion of an unsuccessful application process. It is also possible to retain the data for up to 18 months if you have given your consent to this longer retention period. If your application is successful, we will retain your data collected in connection with the application process in any case for as long as there are legal retention obligations or as long as any legal claims are not yet time-barred.
4. Storage of IP addresses
When you visit our website, data is stored on our servers for backup purposes (such as IP address, call time and visited pages). We process this data for data security reasons and to ensure the stability and reliability of our system.
5. Social media plug-ins
The website uses programs (so-called plug-ins) from Facebook, Instagram and LinkedIn.
These are operated from:
- Meta Platforms Ireland Limited, 4 Grand Canal Suqare, Grand Canal Harbour, Dublin 2 Ireland (Facebook and Instagram)
- LinkedIn Ireland Unlimited Company, Wilton Plaza, Wilton Place, Dublin 2, Ireland (LinkedIn)
The plug-ins can be recognized by the corresponding social network logo. In general, the social networks using the social plug-ins capture the IP address of each visitor of a page immediately when visiting the page and logs his/her other activities on the Internet.
The terms of use and data protection conditions of the respective platforms apply to the use of the third-party portals.
Only if you actively and voluntarily use the function, i.e. click on the plug-in, data about your respective online platform use can be retrieved from the relevant third-party platform via the social plug-in. The legal basis is therefore your consent to the provider of the third-party platform pursuant to Art. 6 (1) a) GDPR. The provider of this platform ("platform provider") has also provided you with data protection information during your registration with details of which data it processes for which purposes when using the social plug-in. We ourselves do not transmit any information that enables a direct determination of your person. Insofar as we receive data from the provider of the third-party platform, this is only aggregated and does not allow any reference to a person.
The social media platforms are not offered by us, but by the respective platform provider. These are responsible for their platforms and process data there based on their terms of use. If you use these social media platforms, you must therefore accept them in each case when registering. The terms of use of the social media platforms also contain information about which data is transferred to us in each case via so-called social plug-ins when you use these functions on a page outside the social media platform and thus also on our website. 6. Cookies:
"Cookies" are used to recognize and store temporary data of the website visitor. We only use session cookies for page analysis, i.e. all information is automatically deleted after a certain period of time after leaving the website. We do not use advertising cookies.
7. Recipient of personal data / processor
KUBRIK ensures that personal information is processed only by the internal positions or employees who need it to perform their duties and obligations. A transfer of data to third parties is only made to the extent necessary. Recipients of personal data may include IT service providers, hosting providers and cloud services for storing and processing the data, employee platform and affiliates of KUBRIK for conducting application processes and the employment relationship, project management and correspondence of communication companies, image or music license databases for acquiring relevant files, print companies for printing customized documents, marketing companies for performing social media services, banks, tax consultants and lawyers for contract execution.
We contractually obligate all processors to process personal data only within the framework of the respective provision of services and using appropriate technical and organizational measures.
Please note that we also use the services of providers from countries outside the EU or EEA, in particular the US. If personal data is collected in this way, your data may be transferred in the US, where it is not subject to a level of protection appropriate to EU data protection law, you enjoy only limited or no rights under data protection law and, in particular the US authorities may also gain access to this data. However, we carefully select our service providers and ensure that all necessary contracts as well as appropriate technical and organizational measures are taken to ensure the protection of your data.
8. Data Security
Our website and other systems are protected by technical and organizational measures against loss, destruction, access, modification and dissemination of your data by unauthorized persons.
Notwithstanding our efforts to maintain a high standard of due diligence, it cannot be ruled out that information you provide to us over the internet will be viewed and used by others.
Please note that we do not assume any liability whatsoever for the disclosure of information due to errors not caused by us in data transmission and / or unauthorized access by third parties (e.g. hacker attack).
9. Storage time
We store personal data for the duration of a business relationship or a given consent. In addition, we store personal data for as long as it is necessary due to statutory storage and documentation obligations, or statutes of limitations. Furthermore, we store personal data as long as it is necessary in connection with the defense or enforcement of any legal and liability claims.
10. Your rights in connection with personal data
You may, among other things, be entitled (subject to applicable law), (i) to verify whether and what personal information we have stored about you and to receive copies of such data, (ii) to correct, supplement or delete your personal information, (iii) to require us to restrict the processing of your personal data, and (iv) in certain circumstances, to object to the processing of your personal data or to consent in advance to the processing of your personal data (v) to require data portability, (vi) to know the identity of any third party to whom your personal information is transmitted and (vii) to lodge a complaint with the relevant authority.
